Virtually Personal Solutions was created from a simple belief: entrepreneurs should be able to focus on growing their business, not drowning in admin. I started VPS after more than five years supporting senior leaders and managing client operations in fast-paced environments, where I saw first-hand how much time and energy business owners lose to inboxes, scheduling, and behind-the-scenes tasks.

Getting Started
How do we get started working with VPS? ›
The process is simple:
  • Submit an enquiry or select a package you’re interested in.
  • We’ll follow up with a few questions or a brief call, if needed, to confirm fit.
  • You’ll receive a tailored proposal or package confirmation, alongside next steps.
Once everything is agreed, we move into onboarding and begin supporting you.
What does onboarding look like in practice? ›
After we confirm your package:
  • We send a service agreement and first invoice.
  • You complete a short onboarding questionnaire.
  • We schedule a 30–45 minute kick-off call.
  • We set up access (email, folders, tools) and agree immediate priorities.
Our goal is to make the transition as seamless and organised as possible.
Working Together Day-to-Day
How do we send tasks and communicate with you? ›
We’ll agree a simple system during onboarding that works for you. Typically this includes:
  • Email for key tasks, updates and files.
  • WhatsApp or similar for quick check-ins (for certain retainers).
  • A shared workspace (such as Notion, Trello or Google Drive) to track priorities and progress.
We keep everything organised so you always know what’s in motion.
What types of work can you handle for us each month? ›

We work within agreed response times and will always prioritise genuinely urgent matters where possible. If you anticipate a busy or time-sensitive period (for example, a launch or event), we recommend flagging this in advance so we can plan capacity around your needs.

How will we know what’s been done each week or month? ›
We provide simple, structured updates so you’re never guessing. This may include:
  • Weekly or bi-weekly summaries of completed tasks, key actions and upcoming priorities.
  • Updates within your task system or shared tracker.
  • Optional check-in calls to review progress.
The exact format is tailored to your working style.
What if we need more support than our package includes? ›
If you find you regularly need more support, we can:
  • Add extra hours at your package’s preferential rate, where capacity allows.
  • Upgrade you into a higher tier for more consistent, ongoing support.
  • Book a VIP Day or project-based add-on for a focused burst of work.
We’ll always discuss the most efficient option with you upfront.
Payments, Boundaries & Policies
How do payments work, and when are they due? ›
Retainers are typically billed monthly in advance and secure dedicated time in our schedule. VIP Days and project work usually require a deposit to secure the date, and hourly support is payable upfront for the agreed block of hours. Bank transfer is preferred; alternative options can be discussed where needed.
How do you handle confidentiality and access to our systems? ›
We treat all client information with strict confidentiality and are happy to sign NDAs where required. Access to your tools and systems is managed securely, and you retain full control and the ability to revoke access at any time. Our intention is to become a trusted extension of your business, with professionalism and discretion at the core of how we operate.
